How do I split an entry with several attachments?

If you collected several files in one entry, say ten receipts from one email, you can turn them into separate entries. Every attachment you pick becomes an entry of its own, as if you had just added it.

Split the whole entry:

  1. Press and hold the entry in the list, or open it and tap … at the top.
  2. Choose Split into Items ….
  3. Tap the attachments that should become entries of their own. A checkmark shows your pick.
  4. Tap Split.

Take out just one attachment: Tap … on the attachment and choose To New Item …. 4later then asks whether to Copy or Move it.

Copy or move? The split window has the switch Keep attachments in original. It is on, so the attachments are copied: the original entry stays exactly as it was, and each new entry gets a copy. Turn it off to move the attachments instead. Then at least one attachment has to stay in the original.

What do the new entries look like? Like freshly added entries: they carry their file's title and have no note, no reminder and no flag. Each attachment brings its AI analysis along, nothing is analysed again. As with every new entry, the AI may file it into a fitting topic.

Undo: After the split a note appears at the bottom, Split into … items, with Undo. Shaking the device undoes it too. Undo removes the new entries again; moved attachments return to the original and are placed at its end.

A new entry you have changed in the meantime stays, so none of your work is lost. Changed means: title or note edited, a reminder set, flagged, marked done, archived, deleted, or attachments added or removed. The note then tells you how many were not undone. If the original entry is in the bin by then, 4later undoes nothing.

Good to know:

  • You only see the option on entries with at least two attachments that you may edit. It is missing on archived entries and in the bin.
  • Up to 150 attachments can be split in one go.
  • Copies take up storage in your plan, as if you had added the files anew. If there is not enough room, 4later copies nothing and tells you. Moving needs no extra storage.
  • If an attachment is still uploading, wait a moment until it has finished.
  • Splitting needs an internet connection.
  • In a shared topic you may copy if you may add entries there. You may move if you may edit the original entry; as a contributor only your own entries.
